The personal data processed in the context of the event are the following:

• Professional capacity / title
• Image and video data, provided that you have given your consent
• Dietary preferences
• Travel details (e.g. flight booking)
• Hotel accommodation details

4. Purposes of Processing & Legal Basis

The Group will process your personal data for the following purposes:

• Organization of the event and management of your participation (e.g. sending invitations, confirming attendance, hotel reservations, etc.).
• Communication with you regarding the event.
• Any other purpose for which you have explicitly consented in relation to the event (e.g. promotional activities of the Group).

The legal basis for processing your personal data is:

• The Group’s legitimate interest in organizing and conducting the event (Article 6 (1)(f) GDPR).
• Your consent (Article 6 (1)(a) GDPR), where required, e.g. for the collection, processing, and publication of photographic or video material depicting you.

The Group may disclose the above personal data to:

• Service providers supporting the organization of the event (e.g. PR agencies, photographers, RSVP platform providers, advertising companies), transportation (e.g. airline, travel agency) or even your accommodation (e.g. hotel), acting as Processors and contractually bound to data protection obligations.
• Third parties (e.g. media outlets, social media), provided that you have given the relevant consent.

Any transfer of your personal data to third countries or international organizations outside the European Union (EU) or the European Economic Area (EEA) will be carried out in accordance with Chapter V of the GDPR.
